 15) Territories

A territory is a way to separate your customers by geographic area or sales control area.   When you enter a new customer the customer will automatically be assigned to a sales rep and territory by the zip code you enter for the customer.  You do not have to use territories in BUSINESSWARE.  You can manually assign customers to a sales rep or decide not to assign customers.  If you plan to use the BUSINESSWARE territory system proceed with the following instructions.

TERRITORY SETUP

Select Sales/Receivables button.  Then select the Territory Setup button.  This opens the Setup Territory window.  The Setup Territory window contains a left pane and a right pane.  The left pane displays a list of defined territories and their corresponding sales representative.  When a territory is selected, the areas assigned to that territory are listed on the right hand side of the screen.  The right pane displays a list of all areas in that territory.  The areas will be displayed and sorted by state, zip code, or cites.  The How Are Your Territories Going To Be Divided-Up By? List box determines whether the territories will be displayed by zip code, state, or city.

Select the New button in the Setup Territory window.  This will open the Territory window.  The Territory window also has a left pane and a right pane.  You will notice a list of areas in the left pane.  Using the Zip Code, City, and State buttons in the lower left of the Setup Territory window the areas can be sorted and displayed by Zip Code, City, or State.  You can divide your territories by state, city or zip code.  Internally the territories are setup by zip code.  So the system knows what city or state belongs in a territory by zip code.    You can also select not to have your territories automatically assigned when entering a new contact.

How to Setup a New Territory:

1)       In the Setup Territory window click on the New button to add a new territory.  This will open the Territory window.

2)       You must enter a name in the Enter Territory field.  You must enter a territory name for each new territory you set up.

3)       Assign a representative in the Territory Representative field.  For no territory representative select No Sales Rep from the Territory Representative drop down list box.  You have the capability not to assign a salesperson to the territory as well as assign multiple territories to a salesperson.

4)       To build a territory select/highlight a zip code, state, or city from the available zip codes, states, or cities list by clicking on it.

5)       Use the Select button to assign the zip, state, or city to the territory.  Zip codes, states and cities can also be assigned by double clicking on them.

6)       Use the Remove button to remove a zip code, state, or city from the territory.

7)       Select the OK button to accept the changes and close the Territory window.  To abort adding the new territory, select the Cancel button to discard any changes made to the territory, and close the Territory window.

Note:  Please remember that there are over 42,000 zip codes so be patient when pulling up the available zip codes when setting up your territories.

How to Edit a Territory:

1)       Select and highlight the territory to edit in the Setup Territory window.

2)       Then select the Edit button.  The Territory window appears.

3)       Make the required edits to the territory by changing the territory name, sales representative, or  the regions.

4)       Use the Select button to assign the zip code, state, or city to the territory.  (Double clicking on the zip code, state, or city in the Available Cities pane also assigns it to the territory.)

5)       Use the Remove button to remove a zip code, state, or city to the territory.  (Double clicking on the zip code, state, or city in the Selected Cities pane also assigns it to the territory.)

6)       Select the OK button to accept the changes and close the Territory window.  To discard the edits made, select the Cancel button to discard the changes made to the territory, and close the Territory window.

Note:  If you edit a territory all customers with that territory will also be edited to the new territory.

Note:  You can change the way you assign territories at anytime when setting up your territories.  You may choose at first to assign by state but make an exception by adding individual cities or zip codes to a territory at a later time.

 How to Delete a Territory:

1)       Select and highlight the territory to delete in the Setup Territory window.

2)       Then select the Delete button.  The Confirm Deletion window appears.

3)       Select Yes in the Confirm Deletion window to delete the territory.  To abort deleting the territory, select No in the Confirm Deletion window to cancel the deletion.

4)       Select the Exit button to close the Setup Territory window.

Note:  The system will warn you if you are deleting a territory that is used in a customer record.

Make sure to save your changes to update the system or use the undo button if you are unsure of your changes or you do not want to save your changes.
