94) Scheduler

The scheduler is an electronic calendar for events for the employees.  It is useful for sales people and others to keep track of their appointments and meetings.

 

You will notice two navigation buttons for Scheduler, the Day View and the Week View.  The Day View will let you look at the schedules of the person logged on as well as the schedule of any person the logged on user is allowed to view one day at a time.  The Week View will allow you to see the schedule for one person at a time for a whole week.

 

In order for you to use the scheduler efficiently you must set up some scheduler activities.

 

SELECT FROM THE MENU BAR SCHEDULER THEN SETUP THEN SETUP SCHEDULER ACTIVITIES

 

Use the New Activity button to add a New Activity and the Edit and Delete buttons to Edit and Delete Activities. 

The system will warn you if you are deleting an Activity in a scheduler record.  If you edit an Activity that is used by a scheduled item the system will automatically change all items to the changed activity.

Make sure to save your changes to update the system or use the undo button if you are unsure of your changes or you do not want to save your changes. 

 

SCHEDULER WEEK VIEW

The week view will let you see and modify the schedule of one employee at a time.  Use the select the employee button located on the top of the screen to see that individuals schedule. 

You should notice the colors and activities on the bottom of the screen.

Use the Page up and Page down buttons to view different time frames.

Notice the Next Day, Previous Day, Next Week and Previous Week  buttons that will let you navigate between different days.

ADDING AN EVENT IN THE SCHEDULER

To add an event click on the time frame that you want the event to be started. 

The system will pull up a window that shows all the events that is scheduled for that employee during the time period.  To add an event just select the new button.

You will be prompted to find a contact, you may leave this area blank if you would like not to make an appointment with a contact.

Select an activity then select the length of time for the event.

SCHEDULER DAY VIEW

The Day View will let you see and modify the schedules of all the employees in the Scheduler for a certain day.

You should notice the colors and activities on the bottom of the screen.

Use the Page up and Page down buttons to view different time frames.

ADDING AN EVENT IN THE SCHEDULER IN DAY VIEW

To add an event click on the time frame that you want the event to be started.  Make sure it is in the column for the employee you want to schedule for.

The system will pull up a window that shows all the events that is scheduled for that employee during the time period.  To add an event just select the new button.

Make sure to save your changes or click undo to cancel changes.
